We recognise that your privacy is important to you. The Privacy Policy has been prepared in accordance with the New Zealand Privacy Act and the Privacy Act.

This policy outlines how we collect, use, store, and protect your data when you visit our clinic or use our services.

1. Information We Collect:

We collect and store information about you, that include:

Personal details: Name, date of birth, address, email, phone number.
Social information: Including employment information and family situation
Health & Lifestyle Data: Consultation and treatment records, results, correspondence and lifestyle factors.

2. Collection of indirect information:

From the 1st May 2026, we are required by law, to notified you if your personal information is collected from another source.

From other health providers
Radiology result
ACC documentation – your ACC number
Share care arrangements
Family provided information
Online intake and referral forms

3. How We Use Your Data:

Your information is used strictly for healthcare-related purposes, which include:

Providing and planning appropriate high quality osteopathic treatments
Maintaining accurate and up to date record
Communicating with you regarding your appointments, responding to query and clinical care.
Sharing information with your GP or other healthcare providers (only with your explicit consent).
Complying with our legal and regulatory record-keeping obligations.

If concerns are raised about the care or services we provide, we may disclose relevant health information to our regulators, insurers, indemnity providers, or legal advisers for the purpose of managing and responding to the concerns.

4. Data Storage and Security:

Confidentiality is a legal requirement and our highest priority. We ensure your data is secure by utilizing:

Secure Electronic Records: Stored using encrypted, specialist practice management software.
Physical Records: Any paper files are kept in locked filing cabinets when not in use.
Access Control: Only your treating osteopath and authorized administrative staff have access to your files.

5. Sharing Your Data:

We will never sell, rent, or trade your personal data to third parties. We only share your data in the following limited circumstances:

With other health professionals (e.g., your GP, other health practitioner) to coordinate your care and only after obtaining your consent.
ACC collection – under the Accident and compensation Act 2001
If we are legally compelled to do so by a court order or regulatory body.

6. Data Retention:

We retain your patient records only for as long as legally required. Adult patient records are retained for 10 years after your last treatment. After this period, all data is securely and permanently destroyed.

7. Your Rights:

Under privacy laws, Rules 6 and 7 of the Health Information Privacy Code 1994

you have the right to:

Request that we correct any inaccurate or incomplete information.
Request the deletion of your data (subject to our legal retention requirements).

What are the consequences of you not providing the personal information:

If you do not provide us with all the personal information we have requested from you, we may not be able to complete your enrolment and provide ongoing services.
